Working out of our Kansas City, MO office, the Project Coordinator will be responsible for coordinating project activities and providing administrative services to the design-build construction group. Responsibilities include providing support to the project management team, assisting with the proposal, subcontracting, and construction process, providing administrative support to all design-build construction team members and providing general Opus office location support.

 

The salary range for this position is between $22.50 and $33.75 per hour, based on experience and qualifications.

Responsibilities:

Safety First

  • Work with the safety department to have working knowledge of the OSHA standards that apply to assigned project(s)
  • Assist with the tracking of project site safety observation reports and submission

Project Coordination

  • Proposal and Pre-Construction Process
    • Assist with proposal preparation
    • Assist with project-specific city and agency licensing and registration
    • Assist with creation of preliminary project schedule document(s)
  • Subcontracting and Procurement Process
    • Contact potential subcontractors to determine interest in bidding
    • Assist with preparation of bid documents
    • Assist subcontractors with obtaining bid documents
    • Maintain, update and track subcontractor bid documents
    • Maintain and track subcontractor bid results information
    • Assemble, review, distribute and track execution of Subcontract Agreements, Consulting Service Agreements and Purchase Orders
    • Receive, review and track subcontractor change order requests
    • Assist with the preparation and processing of subcontract change orders
    • Support the processing of subcontractor pay applications
  • Construction Process
    • Assist with the preparation and tracking of owner contract change orders
    • Assist with revisions and updates to project schedule document(s)
    • Maintain, update project directory and subcontractor distribution lists
    • Process project shop drawings and submittals
    • Maintain, update and track project RFI submissions and responses
    • Develop and prepare project correspondence, reports and presentations
    • Assemble project close-out packages and manuals
    • Complete financial setup of cost codes, budget and schedule of values in project management application
    • Assist with the preparation of owner application for payment and supporting documentation
  • Project Field Site Assistance
    • Order and maintain office supplies for the site office
    • Plan site events
    • Attend jobsite meetings and prepare meeting minutes when requested 

Administrative Support

  • Provide back-up support to other design-build construction Project Coordinators
  • Prepare general correspondence, reports, presentations and other design-build construction team member documents when requested
  • Schedule and organize design-build construction team member meetings/appointments
  • Coordinate design-build construction team member travel arrangements
  • Prepare expense reports for design-build construction team members as requested
  • Coordinate and support large design-build construction team meetings and events

Qualifications:

  • Associate degree in Business, Marketing, Communications, or a related field; or equivalent relevant experience and knowledge
  • 3-5 years’ related administrative and office work experience, preferably in a construction office environment
  • Expertise with Microsoft Office products (Word, Excel, PowerPoint, Outlook, Teams)
  • Ability to utilize project management software tools including scheduling software, payment process software and cost accounting software
  • Effective communication techniques, including strong written and verbal skills
  • Effective interpersonal skills for interaction with a diverse group of co-workers, clients, vendors and visitors
  • Ability to work in a team environment across multiple disciplines
  • Ability to work independently
  • Ability to coordinate multiple activities and meet deadlines Strong organization skills
  • Effective time management skills
